It deliberately does not cover: * **How your ledger behaves** — what a transaction row represents, its columns, and the transaction types and statuses. See [Credit ledger and transactions](/reference/credit-ledger-and-transactions.md). * **What credits mean, and what to do when you run short** — see [How credits work](/concepts/how-credits-work.md). * **The steps for buying credits** — see [Top up the credit balance](/how-to-guides/manage/top-up-credit-balance.md). * **Export settings and formats** — see [Export formats and options](/reference/export-formats-and-options.md). * **Storage allowances**, which are separate from credits and are counted in gigabytes rather than credits — see [File size and storage limits](/reference/file-size-and-storage-limits.md). ## What charges credits A charge happens the first time you **commit** a document — the first time you include it in an export, or the first time you run Force OCR on it. The main actions that commit documents are: | Action | Where it is | What it charges for | | ------------------------------------------------------------------------------------------------- | ---------------------------------------- | -------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------- | | Export in the Download Files panel | Index tab | Every live document in the collection you have selected — the same set the export produces. Searching the Index table narrows what you see, not what is charged. Applies to the All Files ZIP and to the Word and Excel index exports. | | Force OCR | Files tab — toolbar and right-click menu | The documents you selected. | | Create Bundle | Index tab | Every live document in the selected collection — not only the ones you can see, and not only the ones you selected. | | Bulk Edit Dates & Descriptions, then the spreadsheet download inside the dialog | Review tab, Tools menu | **Every visible row**, regardless of what you selected. Neither the control's label nor its tooltip mentions a charge, so this is easy to trigger without expecting one. | Only a matter's **owner** and **editors** can trigger a charge; no other role can. ## What is free | Free | Notes | | ----------------------------------------------------------------------------------------------------- | ----------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------- | | Uploading documents, converting them, automatic OCR, AI analysis, summaries, labels and collections | None of these draw down your balance. | | Building and rearranging the Document Index itself | Only committing documents costs credits. | | Previewing the index | The **Preview Index PDF** button sits beside the Export button in the Download Files panel and does not charge. It renders the full formatted index, so you can read it before paying. | | Re-exporting, regenerating a bundle, or re-running Force OCR on a document you have already committed | No charge, and no cost confirmation — BriefTech checks before contacting the server. (Regenerating a bundle still warns that it will overwrite the previous one.) | | Exporting the table to Excel from the Files and Review tabs | Free. | | The sample files | The sample files you can load into a matter that has no files in it yet arrive already paid for, so committing them never charges. Files in the Bin still count, so the option disappears once anything has been added. | ## Charged once per document, within one matter Each document is charged only once **within the matter it sits in**: re-exporting, regenerating the court bundle, or exporting a document you have already run Force OCR on does not charge it again. Adding the same file to a second matter creates a separate document there, which is charged on its own first commit. A document that has been charged stays charged — nothing resets it. The **Indexed** field in a document's Properties panel tells you whether it has been paid for: it is blank for a document that has not been charged, shows `$` for one credit, and shows the number of credits for anything larger. {% hint style="warning" %} **Splitting a PDF, or extracting attachments from a ZIP or an email, creates new documents.** Each one is charged on its own first commit, even though you already paid for the file it came from — and each carries the one-credit minimum. See [How credits work](/concepts/how-credits-work.md). {% endhint %} ## How the charge is calculated | Operation | Rate | | ------------------------------------------------- | ---------------------------------------------------- | | Committing a document — first export or Force OCR | 1 credit per 50 pages, rounded up (minimum 1 credit) | So a 1-page document costs 1 credit, a 50-page document costs 1 credit, and a 120-page document costs 3 credits. The page count used is the page count of **BriefTech's converted PDF**, not of the file you uploaded. For most documents the two match, but they can differ — so if you are checking the arithmetic against your original, compare it against the converted PDF instead. A document BriefTech could not convert has no page count, and costs the one-credit minimum. ## Whose balance you are looking at The Usage/Billing page shows **your own** balance and ledger, not the balance of a matter someone else owns. Credits for work in a shared matter come out of the matter owner's balance — see [Matter roles and permissions](/reference/matter-roles-and-permissions.md) — so when you are working in a colleague's matter, the figure on your Usage/Billing page is not the one being spent. When it appears, the Insufficient Credits message shows the matter owner's balance, not yours. ## If the balance is short BriefTech checks before it charges, so nothing is spent and nothing is produced when the balance will not cover the action. An **Insufficient Credits** message gives the credits required, the number of new documents, and the balance available. The balance quoted in that message is a separately saved copy, refreshed after a transaction, rather than the figure worked out on the Usage/Billing page — so the two can briefly differ, and the message never shows a balance below zero. Some accounts are exempt from this check: their exports go ahead even when the balance will not cover them, and the credits are still recorded. Creating a court bundle is the one action that offers an alternative — you can produce a watermarked copy instead, without being charged. If you retry an export using a screen that has gone stale — because the documents were charged in the meantime — BriefTech asks you to retry rather than charging twice. ## Pricing Credits are sold as three fixed packs or as a custom amount. The larger packs have a lower price per credit; the custom option lets you buy any whole number of credits at the standard rate. | Tier | Price | Credits | Price per credit | | ------------ | ----------------- | ----------- | ---------------- | | Basic pack | SGD 350 | 500 | SGD 0.70 | | Starter pack | SGD 900 | 1,500 | SGD 0.60 | | Team pack | SGD 2,500 | 5,000 | SGD 0.50 | | Custom | Amount you choose | 1 to 10,000 | SGD 0.80 | A custom amount is the most expensive way to buy credits per credit — every pack is cheaper. **At checkout:** * Four payment methods are accepted: card, PayNow, WeChat Pay and GrabPay. * Promotion codes are accepted. * You can add an optional **Customer Note** of up to 100 characters, which appears on the invoice. * An invoice is generated for every purchase. {% hint style="info" %} **The credited amount comes from the payment provider, not the figures above.** The credits added to your balance come from the payment provider's product record for the pack you bought, not from the figures printed above. If a pack's contents are ever changed, the payment provider's record is what governs. {% endhint %} Purchased credits are valid for **12 months** from the date of purchase. The Purchase History tab shows an **Expiry (months)** value against each purchase — see [Credit ledger and transactions](/reference/credit-ledger-and-transactions.md) — recording the validity for that purchase; a purchase with no value recorded shows `-`. ## Welcome credits Creating your first matter triggers a one-time grant of 50 welcome credits, so you can index and export it before buying. Whether it is issued depends on your account at that moment: * If your account has an email-and-password sign-in, your email must be verified by the time you create that first matter — this applies even if you now sign in with Google or Microsoft. An account created purely through single sign-on has no verification step. * The grant is made once per account, and only while your credit ledger is still empty — buying credits before creating your first matter means the grant is never issued. * Some accounts are excluded from this grant. The grant is decided once, when that first matter is created.
